Position: Front Desk & Admin Executive

Location: Mumbai

Reporting To: AM-HR & Administration(Direct) and HR and Admin Executive(Functionally)

Reportees: 4

Criteria: Any Graduate with 2+ years of experience in Front Desk Administration.

Specific Skills and Knowledge:

  • Very Good People Management Skill.

  • Good in Communication both oral & written.

  • Adherence to Safety Instruction & HSE Policies

Interactions(Internal & External): All Employees, Company’s HR members and Global Teams 

Job Purpose: To provide administrative support, answer the telephone calls, attend guests/clients at Mumbai HO. 

Key Responsibilities:

1. Vendor Management 

Ensure periodic renewal of AMC/ Service agreements. Identify vendors and negotiate effectively.

2. Courier Administration 

Ensure smooth, accurate & cost-effective courier distribution.

3. Office Boy and HK administration 

Ensure Office boys and HK boys are performing their assigned tasks effectively. Their leave & Shift administration.Ensure cleanliness and hygiene of the premises.

4. Front Desk

Punctual to the office timings and respond to calls appropriately. Take adequate messages when required. Should have knowledge of EPBAX system.

5. Matrix Attendance System

Maintaining attendance module for Sales and Warehouse site.

Additional Responsibilities:

  1. Maintain adequate inventory of office supplies, stationary cost effectively.

  2. Greet, assist /direct visitors (ensure that outstation visitors are properly taken care).

  3. Assist in arranging meetings, corporate events, HSE initiatives and training programmes.

  4. Prepare MIS

  5. Support HR in various Employee Engagement initiatives.
